The Arizona Center for Nature Conservation, Phoenix Zoo and South Mountain Environmental Education Center invite you to the 2018 Conference of the Association of Zoo and Aquarium Docents and Volunteers (AZADV). Held April 10 – 15, 2018 in Phoenix, AZADV Conferences are a time to learn and network with others who share a passion for the natural world – all while having loads of fun! 

In addition to the AZADV Conference, a variety of optional trips offer extraordinary opportunities to enjoy the sights and wonders of Arizona. These social times will undoubtedly include plenty of fun with AZADV friends along with chances to meet new colleagues who share a passion for animals and nature.

The host hotel is the Sheraton Mesa at Wrigleyville West, located eight miles from both Phoenix Sky Harbor Airport and the Phoenix Zoo. Many restaurants and shops are located within walking distance or a short ride on the complimentary hotel shuttle. Lounge around the pools or walk along the paths through the lush lawn of the adjoining park to unwind from the day’s activities.

Phoenix is nestled in what is universally known as the Valley of the Sun, and that very sun provides the gorgeous weather of the Southwest. April in Phoenix is especially beautiful, particularly for those who have just experienced a long, cold winter. The afternoons will be warm (reaching an average of 85 degrees) so be sure to drink lots of water, lather on sunscreen, wear lightweight clothing and do not overexert yourself outdoors! We want you to enjoy all the experiences the 2018 AZADV Conference offers.

Our theme, “Connecting and Protecting Our Natural World,” is intended to inspire new ways to help visitors connect with the natural world so they, too, will also work with us to protect it. We recognize we cannot accomplish this alone; together, though, we will make a huge difference.

The conference hotel is the Sheraton Mesa Hotel at Wrigleyville West, conveniently located 8 miles from Phoenix Sky Harbor International Airport and 8 miles from the Phoenix Zoo. The three-year old hotel is adjacent to the Chicago Cubs Spring Training Stadium, Riverview Park and near Mesa Riverview Shopping Center. Recreational features of the hotel include: 2 heated pools, 2 plunge pools, a hot tub and a 24 hour fitness center. There are several restaurants within the hotel and more in the near vicinity of the hotel. All parking is complimentary.

To reserve by phone, call 480-664-1221. To receive the conference room rate be sure to indicate that you are attending the AZADV Conference. Please do not make reservations at another hotel and please do not reserve the hotel through a third party. Our contract with the Sheraton requires a minimum number of guest room nights. If that minimum number is not met, the conference then must pay the hotel for the difference between the actual guest room revenue and the contracted amount. Reservations for the Sheraton through third party agents will not be applicable to the conference’s minimum guest room commitment.

TRANSPORTATION:
Individual transportation from Phoenix Sky Harbor International Airport to the hotel is complimentary from 5:30 AM until 9:30 PM based on availability. After you have picked up your luggage, call the hotel at 480-664-1221 to arrange hotel transportation. The shuttle should arrive within 20-25 minutes but may vary depending on your terminal location and traffic.

Other options for transportation between Phoenix Sky Harbor International Airport and the hotel include:

  • Super Shuttle: Shared ride= $17 one way
  • Taxi: approximately $32 to $35 plus tip one way

ACCESSIBILITY
Wheelchair accessible airport shuttle is available if request is made with reservation.

Several modern ADA rooms are available upon request.

Hotel has fully accessible heated pool.

Riverview Park, with its award winning design is right next door.  In addition to some adult and kid-sized accessible playground features, it has paved accessible walking and bike paths connecting to other parks.

REGISTRATION POLICIES
Each person registering must complete a form, including guests. Those registering together and mailing in the form should submit their forms in the same envelope. Registration runs from November 1, 2017 to March 11, 2018. Mail‐in registrations must be postmarked no later than February 28, 2018. There will be no registration at the conference.

Photographers will be taking pictures at the conference, which may be used for promotional and educational purposes. Registration or participation in the meeting and other activities constitutes an agreement to allow AZADV or the Phoenix Zoo|Arizona Center for Nature Conservation to use and distribute attendees’ image in photographs and recordings – now and in the future.

REFUND POLICY
All refund requests must be received by March 11, 2018. Approved refunds will be issued within 30 business days and a $50 processing fee will be deducted. ACCESSIBLE HOSPITALITY AT THE PHOENIX ZOO

  • Wheelchairs and scooters are available for rent on a 1st come, 1st served basis.
  • Assisted Listening Devices are available for loan at the 4D theatre, and closed captioning is available upon request.
  • Upon advance request, other reasonable accommodations could be offered, as needed. (e.g., Large print materials).
  • Leashed, vaccinated Service animals are welcome in most areas, but access is limited where their presence is likely to be disruptive for the Zoo residents.
  • All trails are either paved or compacted suitably for wheelchair or scooter use.
  • Terrain is hilly in some areas, but alternative routes are available.
  • Giraffe Deck, Carousel and Safari train are wheelchair accessible.
  • You are permitted to bring outside food into the zoo.
  • Bring a hat, sunscreen, re-usable water bottle, comfy shoes.

Enter the Phoenix Zoo AZADV’s 2018 Photo Contest!

Phoenix Contest Co-Chairs Pat Godbout and Mary Rubert welcome you to enter the 2018 Photo Contest.
Always a highlight of every AZADV Conference, winners will be announced at the Saturday banquet.

Potentially award-winning photos can now be entered in Phoenix Zoo AZADV’s 2018 Photo Contest. A highlight of every AZADV Conference, winners are announced at the Saturday banquet.

Phoenix Contest Co-Chairs Pat Godbout and Mary Rubert offer these details:

Winners receive ribbons for first, second and third place in these categories:

  • Mammals
  • Birds
  • Reptiles
  • Other (including, but not limited to fish, amphibians, insects and scenery)

All entrants will receive certificates of recognition. Any AZADV registrant can enter up to three photos. A trio of top Phoenix Zoo volunteer photographers will judge the entries. All Conference participants can vote for the Peoples’ Choice award.

Entries can be submitted in either of two ways:

  1. 8×10 hard copy prints, either color or black and white should be sent to address on entry form.
  2. Digital files should be emailed to gbernal7@cox.net.

Each jpg should not be any larger than 10MB. Format up to 300 dpi 1080 maximum is ideal.

Animal subjects may be photographed in the wild or at a zoo or aquarium. No submissions with mattes, frames, Plexiglas, foam board, etc. will be accepted or returned. Photos that have been digitally altered beyond standard optimization as determined by the judges will be disqualified. Exposure adjustments, dust removal, cropping and reasonable adjustments of color or contrast are allowed, but no adjustments beyond that.

All photographs that include recognizable persons must have a release included with the photograph. Winners will be asked via email to submit a digital copy for display on the AZADV Facebook site.

The entry fee is $10 per photo. Make check payable to Phoenix Zoo and note “AZADV Photo Contest Entry” on the memo line. Print the following on the back of each photo:

  • Photographer name
  • Contact information (email address and phone number)

Call for Papers
The theme for the 2018 AZADV Conference is “Connecting to Protect Our Natural World.”  Topics for papers will focus on that theme and share ways that we can connect our visitors to the natural world so they will work with us to protect it.

Presentation Details:  The presentation format is 45 minutes in length, including 10 minutes for questions.
